Your Files Should Match Your Jobs
Your file structure should match your jobs, not somebody's idea of departments. Field staff need the current drawing on a phone without a training session, and your accountant's files shouldn't be one wrong click away from the whole crew.
The sub working the Hillside job should find the Hillside files. Not thirty other projects first.
Free email costs more than it saves here. SPF, DKIM, and DMARC are the records that tell the world a message really came from your domain, and they don't exist on a free account. Which means anybody can send an invoice that looks like it came from you. In a trade where that exact fraud is common, it isn't a technicality.
And if you work Department of Defense projects, you have to keep the evidence behind your CMMC Level 1 self-assessment for six years under 32 CFR 170.15. Six years is longer than most contractors keep anything on purpose. Where your files live decides whether that's a search or an excavation.

We're already on Microsoft 365. What would actually change?
Usually the license count changes to exactly what you need, multi-factor authentication gets turned on, the email records get set up correctly, and the files get a structure somebody designed on purpose. Most of that is configuration you already own and nobody ever turned on.
Do we have to move off Dropbox?
No. If it's working and your people use it, the urgent fix is getting company files out of personal accounts, not switching platforms. Moving to SharePoint makes sense when you're already paying for it and you're willing to design the folder structure once.
Isn't Microsoft already backing this up?
Microsoft keeps the service running and gives you a limited window to recover something deleted. That isn't the same as a backup you can restore from after ransomware, or a year later when somebody needs va file from a closed job. That's why backup is its own line above.
Will my field crew have to learn something new?
The goal is that they don't. A foreman opening today's drawing on a phone shouldn't need training, and if the structure is right, he doesn't. The work goes into the setup so it stays out of the field.
